About the company and role:

Dietitian Boss is looking for someone to support us as an Administrative Manager. The mission of the Dietitian Boss is to create more private practice operators. The Dietitian Boss Method teaches how to start and grow a private practice using social media.

You must love people and be a team player. Excellent communication skills and great follow-through are necessary as well! A technically savvy fast learner, comfortable with learning new software will be successful in this role.

This is an employee role with the opportunity to grow. We operate between 9 to 5 pm Eastern time. This role is part-time of 15 - 20 hours per week to start. The exact working hours will be discussed during the interview.

You require close supervision and frequent direction, we need someone that is motivated, completes assignments and anticipates needed work and initiates appropriate actions. If you are challenged in adapting to new technology this position may not be a good fit for you.

Administrative Duties & Responsibilities:

  • Project management of content
  • Manage company Google Calendar
  • Oversee organizing of Google drive and help to maintain it
  • Project management and team delegation as necessary to make sure all stages of projects and daily functions are carried out
  • Attend weekly team meetings and set up projects/tasks in asana.
  • Proactively seeks best practices for business, for example: setting up templates for FAQs, creating better ways to communicate, setting up meeting times, thinking ahead.
  • Paying invoices as needed and filing on our company drive for record-keeping
  • Invoicing clients and tracking payments, follow-up when necessary
  • Assist with the hiring process
  • Onboard and offboard staff (employees or contractors)
  • Manage company SOPs
  • SOPs are completed and reviewed for core processes
  • SOPS are created as new processes are created
  • SOPS are updated when processes change on a regular basis
  • Payroll update contract hours per week
  • Work with Director of Operations to present final hours submission

Lead Coach Duties & Responsibilities:

  • Following up with client correspondence related to the program
  • Auditing the performance of the other coaches and providing feedback
  • Make sure calls are covered in the event another coach is unable to conduct a regularly scheduled call
  • Manage client retention and how we can improve it
  • Manage Client KPIs 80%
  • Clients have filled out surveys for groups
  • Document client complaints and refunds
  • Identify customer complaint
  • Document complaints in terms of #
  • Document written complaint and file
  • Manage refunds as per documented policy

Project management of content - We create regular content such as podcasts, youtube videos, social media content and more. Overseeing the process of start to finish according to our process.

Manage company Google calendar - sending invites to team members and instructors as needed for team meetings, planning calls, program calls, and similar.

Oversee organization of Google drive - We have 4 Google drives for different areas of the business. We need someone to help organize them and maintain that organizing so the team can easily find what is needed.

Project management, team management and delegation - creates and executes project work plans and timelines and revises as appropriate to meet changing needs and requirements of the business. Manages day-to-day operational aspects of a project and tasks. This goes with project management and may only be assigning tasks at times, not necessarily to do with projects. But making sure things are not past due, seeing if team members have the info they need, linking to SOPs, and so on.

Weekly meetings and task creation - We will have weekly meetings; you will take notes and then set up any tasks necessary in Asana. You will add the necessary info and assign it to the appropriate team member.

Proactive in identifying best practices - We are looking for someone that is solutions-oriented and can identify where a policy or template may be needed. Thinking ahead in order to help the business to run better.

Paying invoices - process payment of invoices as needed using the company credit card. Then filing them on the company google drive in the appropriate folder.

Assist with hiring process - support the Director of Operations to carry out parts of the hiring process as needed when bringing on new team members.

Onboard/Offboard staff - when hiring new employees or contractors preparing the contract, setting up payment, getting them access to company systems and other items. Then also do the onboarding for the same items.

Manage company SOPs - we have numerous SOPs created, but many are not complete. Initially, it would be going through to see what is complete and what isn't. Then create a plan to update and maintain them. Then the creation of any new ones is needed.

Update payroll - update team payroll 2x monthly and then submit to the Director of Operations for processing.

Experience:

  • Previous experience with Google applications and other company software listed in the linked questionnaire
  • Coaching experience is a bonus but not required

Compensation:
This is a part-time employee position with room to grow into more. The hourly rate is $25 an hour. Any national American holidays that fall on a weekday will result in you receiving time off but still paid.

Commitment:
This will start at around 15 to 20 hours a week but could grow more as the business grows. We are looking to develop a long-term relationship. The faster you learn, the quicker you can take on more responsibilities.
