Growing event production company is looking for a bookkeeper for our New York office. This position is an in-office and work-from-home hybrid (2 days work from home, 3 days in our office). The office is located in Manhattan, steps away from Penn Station/Madison Square Garden. The role will also require you to cover some light office management duties.
While you'll be working most closely with the Finance Manager in Florida, you will also field many questions or concerns regarding business credit cards, allocations or event budgets from employees in all locations. You also may frequently interact with the company's executive leadership in the U.S. and London.

Being comfortable communicating via Zoom, Slack, and other remote team systems is a must. Our company's filing and communications system is Microsoft Office 365.
The successful candidate should have a BS in Finance, Accounting or Business Administration, and a minimum of 5 years of proven bookkeeping experience.

Your responsibilities include, but are not necessarily limited to:
Receivables / Payables
Receive and track incoming/ outgoing payments and enter against correct invoice/client.
Review incoming/outgoing invoices for accuracy
Follow up on outstanding invoices, including collections where necessary
Bank General
Reconciliations/keep up-to-date book balance
Processing miscellaneous requests from state/federal agencies
Sales Tax
Prepare monthly sales tax for the three company locations (Florida, California, New York)
For all states we do business in
Credit Cards
Check card balances on a regular basis and fund operating cards as needed
Schedule credit card payments
Create monthly report for each card holder and ensure charges are mapped to correct client/event
Reconcile expenses with receipts and follow up on missing receipts if needed
Journalize each card and post cost to corresponding event
Financials
Create monthly and yearly budget and reconcile against actual P&L
Forecast and update cashflow and yearly budget as needed
Create monthly closing report such as P&L, Balance Sheet, Sales, etc.
Other
Make recommendations for process streamlining/improvement and cost-saving opportunities
Read and review client contracts to confirm accuracy and proper budget allocation.
Handle required filings and tax forms
Support Finance Manager with ad-hoc projects as needed
Office Management
Assist with contacting and resolving issues with property management and vendors
Open, sort and direct incoming mail
Ordering of office supplies/ equipment
Assist with management of storage units
Qualifications
BS degree in Finance, Accounting or Business Administration
Minimum of 3 years bookkeeping experience required
Excellent communication and customer relations skills as you will be interacting with clients
Ability to prioritize in a fast-paced environment with remote staff
Proficiency in QuickBooks Desktop a must
Experience reading and reviewing client contracts
Familiarity with expense software like Concur or Expensify
Proficiency in MS Office Suite
Knowledge of Avalar a plus
