The Center for Developmental Play and Learning is located in Santa Barbara California.
We're a company of about 13, serving children with special needs and their families. We've been around since 2007 and serve both Santa Barbara and Ventura County. We seek someone who has initiative, is organized and has prior administrative experience to join us.
We need a tech-savvy person - responsive to texts, emails and comfortable using technology to get things done. We are looking for someone who can think through steps within a broad goal or task assigned and ask the right questions. We're there to help and support but we need someone who take the ball and run with it independently.
The position will probably range from between 15 and 20 hours per week. We are fine with a combination of remote and on-site hours at our Santa Barbara Center but in-person is needed. The position will have flexibility in hours with some periods when physical presence at our location is needed. Many other times, work can be done remote as well.
Duties:
- Assistance with billing, record-keeping and new software to track clinical data. Assist Bookkeeper with payroll processing , including: gathering of timesheets and invoices, ensuring that all timesheets and invoices from all employees and contractors are in at the specified time.
- Upkeep of clinical files , including but not limited to: ensuring all treatment forms are in the file and up to date; addresses, phone and other contact information is current
- Upkeep of employee files , including but not limited to: ensuring that all employees have current licenses, certificates of CPR/First Aid, insurance limits, current address and contact info and other items as necessary or assigned;
- Authorizations for each client are monitored, and current status is posted on the administrative office wall each month; notification of clinicians about ending authorizations at least two weeks in advance;
- Attendance of weekly administrative meeting with Co-Directors to review all tasks completed during week, to troubleshoot project issues, to report on any information requested from Co-Directors, to review any other projects or tasks as assigned.
- Light Straightening and Readying of Clinical rooms for use, including wiping of surfaces, and props, light cleaning, carpets. Organizing of toys/props in shed as directed.
- Misc. duties as assigned : Assisting the Directors as requested and assigned, setting up meetings with various outside agencies such as insurance personnel, calling repair people when authorized by Directors, maintenance of office equipment, ensuring supplies are stocked for this equipment. Purchasing approved supplies for program as directed by Directors and any other appropriate administrative office duties proposed or assigned.
